Political Party Conference Experienced Event Managers will tell you that for an event to go well and without a hitch takes months of planning and preparation. Tell them they have 4, maybe 5 weeks, to put on a major UK event and they will more than likely shake their heads & mutter ‘not possible’. For our Event Manager (Claire) that was exactly the challenge she was facing. A political Party set her just such a challenge when their plans for the Annual National Conference were thrown into disarray and needed someone to take on board the problem. The Party explains – “Our original plans were no longer suitable and with only a few weeks to go to the Conference we were in need of expert advice to get the ‘show’ back on the road. We also needed a serious level of commitment, professionalism and energy and it was our good fortune that our Event Manager had all those qualities as well as the determination and spirit to make our event a resounding success.” Claire takes up the story – “Running a successful event usually takes months of meticulous planning and attention to the smallest of details. When you are catering for a 3 day event involving over a 1000 delegates, presenters and a myriad of other people you need to plan with military precision. If something goes wrong it has a domino effect. I knew what we were taking on, and quite frankly relished the challenge. We had to concertina months of work into 5 weeks.” Good plans shape good decisions, but a plan is only as good as the people who execute it. It needs highly motivated, experienced staff to make it happen. An experienced Event Manager understands the value of communication, teamwork, people management and must have a positive attitude. Taking on this project was a big challenge, but one I felt confident in achieving the delivered was faultless and the event that ran like clockwork Being a prominent political player the Party say “Everything we do is under the spotlight. If there had been even the slightest glitch in running the event our ‘political friends’ and the media would have had a field day. We were therefore particularly concerned that nothing was left to chance. Our Event Team was on-site before anyone else on the first day and didn’t leave until we brought the curtain down three days later. They took all the anxiety and problems of running an event away from us which meant we could concentrate on the reason for the Conference - listening to speakers, joining in debate and hearing policy statements.” Although planning is of paramount importance it is the ability to be flexible and adapt to changing requirements that will make or break an event. As Claire goes on to explain – “We have a detailed technical programme, contingency plans, backup systems, emergency procedures and minute-by-minute schedules.”
Teamwork, excellent communication skills, long hours and a hectic schedule typify the characteristics required of a good Event Manager. They have a complex and diverse set of tasks to accomplish and they need the experience to cope with working under pressure with demanding timescales. Above all they need to be obsessive about attention to detail and organisation”. The last word goes to the client – “I cannot thank Claire enough. At the beginning of September our Conference plans were severely disrupted and we were facing a potential disaster but Claire pulled it round and the Conference was a success both on the platform and in its organisation”.
